Scanning on demand
Paper files are, or will be stored at the CFSA secure storage facilities.
The client has access to all storage box contents, using the CFSA website, clientlog-on.
After choosing box content needed, the client chooses for "Digital upload" of the requested files.
At the CFSA Storage facility the paper files will be picked immediately and scanned.
After a few hours (time will be determined by SLA), the client is able to download the requested files from the CFSA website/secure log-on.
 
Scanning on demand. "urgent request"
The procedure for this type of request is similar to the above described, except the requested file will be scanned as soon as possible. At your request, scanned files can be sent to the requestor by urgent email.

 
Backlog-scanning of all frequently needed files
Paper files will be sent to the CFSA secure storage facilities or will be picked from already at CFSA storage site stored boxes.
At the CFSA secure storage facility, the files will be prepared for scanning and scanned
After scanning several file- or document "metadata" can be added to the digital files
After scanning, the digital files can be accessed 24 hours a day, using the CFSA secure Web Portal facilities.
At your convenience, CFSA can also provide scanning facilities to your office location.

Access of files is location-independent(files handled at CFSA location can be accessed trough secure webportal facilities from anywhere in the world).
Due to CFSA secure back-up procedures on digital data storage; loss of your crucial company data is eliminated.
By using the world standard "Adobe" file type "PDF-A", no changes can be made in your digital files and documents.
CFSA secure web portals (using cloud computing solutions) can be invisibly connected to your in­ company website, allowing even better and easier company-access to your files.

Depending on the quantity, required service and access levels of the digital files and documents.
Description of the CFSA scanning process scheme, using cloud computing facilities
 
Step 1 {at CFSA or clients scan location}
Paper files will be registered into the central scanning database. Important file data will be entered, such as:
File number 
File name or description
Any useful extra file data
 
Step 2 (at CFSA or clients scan location)
Paper files will be prepared for scanning. Paperclips, staples or any other binders will be removed. File tabs (if any) will be marked with barcodes. This way tab-data can be added tot the files during the digital process.
 
Step 3 {at CFSA or clients scan location}
Documents will be processed trough document-scanners. Large drawings or maps , if present, will be scanned, using large drawing-scanners.
 
Step 4 {at CFSA or clients scan location)
Paper files can be rebinded after scanning is completed and stored. After thoroughly checking of the digital files, paper files can be destructed.
 
Note:
The above steps cover the total paper handling in the scanning process. From hereon the secure cloud environment will be used to finish the process.
 
Step 5 {at any secure internet location}
The "Raw" scan batch will be checked on quality of scans. If necessary a batch can be disapproved and ordered for rescan.
Step 6 thru 9 {at any secure internet location)
 
Document and/or drawing information data is added according to customer requirements. During these steps the customer staff can check and approve all added data. Also, if required, customer staff can add file data themselves.
After control and approval of all files with added data, the batch will be cleared for final processing and output.
 
Note:
The digital system process can be adjusted to any type of file-structure or content. A CFSA scanning project will always start with thorough enquiry of all the customer needs.
